Terms of service

Last updated October 2026

These terms of service govern the use of WheelOwl, operated by ByteZoo Labs UG (haftungsbeschränkt), Hamburg, Germany (see the Impressum). By registering an account you accept these terms. The paid subscription is offered exclusively to businesses (Unternehmer within the meaning of § 14 BGB).

The service

WheelOwl is web software for pottery studios: membership and plan management, recording of kiln firings and firing charges, a firing service for external customers, course management with online booking, check-ins and calendar, and monthly charge summaries. The software is provided as an online service (SaaS); its feature set evolves over time.

Accounts and responsibilities

You agree to provide accurate information and keep your credentials confidential. Studios are responsible for collecting their members' data lawfully and being permitted to enter it into WheelOwl. Actions taken through an account are attributed to the account holder.

Data protection and processing agreement

For personal data the studio processes about its members in WheelOwl, the studio is the controller and we are the processor. For this purpose the parties conclude a data processing agreement pursuant to Art. 28 GDPR, which forms part of this contract. Details on data processing are set out in the privacy policy.

Pricing and term

WheelOwl is a paid subscription, billed monthly or — where offered — yearly. All prices are exclusive of statutory VAT. The prices shown when the contract is concluded apply; special conditions (e.g. founding-partner offers) are agreed separately. The subscription renews automatically for the chosen period (one month or one year) and can be cancelled at the end of the current period. Periods already paid are not refunded pro rata. We may change prices for the future. We announce price changes by email at least six weeks before they take effect; they apply from the next billing period, and you can cancel before they take effect. For a yearly period already paid, the agreed price applies until that period ends. If you connect your studio to your store through the WheelOwl app from the Shopify App Store, we bill the subscription through Shopify: approval, payment and invoices then run through your Shopify account, and Shopify's terms also apply to the payment processing.

Course payments via Stripe

If a studio connects its own Stripe account, customers pay for course bookings directly to the studio. The studio alone is the seller and the customers' contracting party; the Stripe account is governed by the agreement between the studio and Stripe. WheelOwl only provides the technical connection, receives no funds and charges no transaction fees. Refunds, chargebacks and taxes are the studio's responsibility.

Acceptable use

You may only use WheelOwl within applicable law. In particular, the following are prohibited: interfering with the operation or security of the service, attempting unauthorized access to other people's data, and posting unlawful content. In the event of abuse we may temporarily suspend accounts.

Reporting illegal content and moderation

Studios publish their own content in WheelOwl, such as logos, course images, course descriptions and photos. If you believe content is illegal, report it to hello@wheelowl.com. Please include: why the content is illegal, the exact address (URL) of the content, your name and email address, and a statement that your information is accurate and complete to the best of your knowledge.

We confirm receipt, have a person review every report (no automated decisions) and tell you the outcome. If content is illegal or breaches these terms, we may remove or disable it and, for repeated or serious breaches, suspend the account (see Acceptable use). The affected studio receives a statement of reasons and can object by replying. Questions about bookings or orders with a studio are for you to settle with that studio directly.

Availability and changes

We aim for high availability but do not owe uninterrupted access; maintenance windows and short interruptions are possible. We may develop and improve features; we announce material reductions in advance.

Liability

We are liable without limitation in cases of intent and gross negligence, for injury to life, body, or health, and under the German Product Liability Act. In cases of slight negligence we are liable only for the breach of essential contractual obligations (cardinal obligations), limited to the foreseeable damage typical for this kind of contract. Any further liability is excluded.

Termination and data deletion

You can cancel at the end of the current billing period (monthly or yearly, depending on your plan); we may terminate for good cause, in particular in the event of serious violations of these terms. Export your data before deleting a studio or account — deletion works as described in the privacy policy.

Final provisions

German law applies. Where permissible, the place of jurisdiction is Hamburg. If individual provisions are invalid, the remainder stays in effect. Provider details are in the Impressum; information on data processing is in the privacy policy.
